Apprentice Administrator

Key Responsibilities:

Maintain accurate and up-to-date patient records. Assist with medical and insurance reports, subject access requests, and online access via IGPR. File correspondence, reports, and results correctly. Provide administrative support to the healthcare team, including: Managing referrals, pathology results, immunisation recalls. Summarising and coding incoming correspondence. Scheduling appointments and coordinating staff rotas. Liaise with external providers and assist with private billing. Prepare meeting minutes, run reports, and contact patients via phone, email, or digital messenger. Support QOF, safeguarding, and enhanced services.

Compliance & Standards:

Handle all patient and practice information with strict confidentiality. Follow health and safety and infection control procedures; report hazards promptly. Promote equality, diversity, and respect for patient rights. Complete mandatory training and participate in annual performance reviews.

Quality & Communication:

Maintain high standards of accuracy and quality. Communicate effectively with colleagues, patients, and carers. Adapt communication methods when required. Apply practice policies and participate in audits.

Training Outcome:

We will train you to have excellent customer service skills, be confident in all aspects of administrator/secretary work.

The aim is that our apprentices become highly employable within the sector, that they have confidence in their own skills and that we support them to stay within the team or find a suitable role in a different healthcare setting, as appropriate.



Employer Description:
We are a small GP surgery based in Derby city. We have 4854 patients. Our systems are very digitalised, and we offer telephone, virtual and face to face appointments to our patients, allowing us to provide prompt medical care. The majority of our patients contact us via our website with the phone system available for our elderly patients or those with low literacy levels. Most of our patients are of working age, with a smartphone that they can use. Our Reception and Admin teams are small, but hard working and supportive. We have two GP Partners and a Clinical team.

Working Hours :
Monday to Friday, 09:00 - 16:30, with a 30-minute lunch break per day.
